What’s new with Cloud Quote (new features and updates)

From enhanced security and user management to streamlined workflows, advanced sales management tools, and a powerhouse mobile app, these updates empower you to work smarter, not harder.

Enhanced security and user management (October 2023)

Improved user inactivity management

A new feature we’ve added is to enforce automatic timeouts after a set period of inactivity. This ensures a more secure environment and prevents unauthorised access to user accounts. Management can configure this timeout duration by navigating to the Package Admin Tab > Package Editor > Other Settings > Session Timeout. Here, you’ll find a dedicated setting for setting the desired inactivity timeout period.

Streamlined package editing

The Package Editor now features a revamped system from the old Excel-style payment options/factors.

You’ll also experience faster product deletion within the Package Admin. This update allows you to remove unwanted products from your packages with greater efficiency, saving you valuable time and effort.

Optimised workflow and communication (November 2023 - December 2023)

Enhanced reminders

Receive desktop notifications with colour-coded bars for due dates and overdue tasks. You’ll also get client and quote details directly in desktop reminder pop-ups. No more switching between screens. These detailed notifications keep you informed about upcoming tasks, provide essential context for each reminder and keep you on top of your deadlines.

Improved client management

Add reference fields for short descriptions directly in the Client Information screen or the Open All Quotes screen. This streamlines your workflow by allowing you to easily attach essential client details directly to their profiles or quotes, improving overall clarity and organisation.

Auto assign clients

Save time by automatically assigning clients to reps based on your preferences in the Package Editor.

Configurable user permissions

Set custom fields as “Protected” to restrict editing for users that have a “Requires Approval” setting. This functionality enhances quote accuracy by allowing managers to unlock these if required. To achieve this, navigate to Package Editor > Company Admin and locate the desired custom field. Within the custom field settings, you’ll find an option to mark the field as “Protected”.

Customisable field ranges

Define minimum and maximum values for custom fields, with optional security settings for unlocking the range. This ensures data accuracy and consistency by setting boundaries for specific fields. You can configure these ranges within the Package Editor. Locate the desired custom field and explore the settings for defining minimum and maximum values. Additionally, you can set security measures for authorised users who may need to override these ranges.

Visual notification badges

Stay informed with badges highlighting activity in your pipeline, newsfeed, and reminders. These visual cues keep you up-to-date on all your sales activities at a glance, allowing you to prioritise tasks and remain focused.

Advanced sales management tools (January 2024 - April 2024)

Payment option overrides

Admins can grant specific users permission to override payment options when creating quotes. This flexibility empowers your team to handle unique client situations while maintaining control over the financial aspects of quotes. This functionality can be accessed within the Company Admin tab > Security. Here, Management can designate specific users with the ability to override payment options.

Enhanced reporting

View “Current vs Proposed” spreadsheets in an easier-to-view format. This update improves data visualisation and simplifies the process of comparing current and proposed values within your reports.

Customisable deal stages

In Deal Stages, we’ve included additional details like expected closure, rating, and created date. You can configure these options within the deal stage settings. This increased level of customisation allows you to tailor your deal stages to reflect your specific sales process and capture valuable data points for improved pipeline management.

Export flexibility

We’ve added a new feature of exporting reports and client lists to Excel with options for filtering for the current view or exporting all data. This update empowers you to generate reports and data sets that cater to your specific needs, allowing for in-depth analysis and informed decision-making.

Mandatory fields

New mandatory fields have been added for quote creation. They are “Expected closure date” and “Rating”. This ensures all quotes capture this crucial information, promoting data completeness and fostering a more comprehensive understanding of your sales pipeline. This can be found within the quote creation process.

Improved client visibility

This new feature allows reps to view unassigned clients for informational purposes. This is added as a Tag report.

Mobile app updates (May 2024)

Latest app version

Download the latest Android version of the Cloud Quote app from the Play Store and experience enhanced lead management with memo functionality.

Enhanced mobile lead management

Create notes, capture pictures, and attach documents directly within the mobile app using the new memo function. Simply click on the “Plus” icon within the Leads section of the app.
